AGM 2008 Registration - Registration process closed

Below you find the registration procedure for the AGM 2008 in Besancon. This has to apply this time because places are limited due to capacity of accommodation and the honourable growth of ESN. Therefore, it is not possible that every section can send two participants.

Firstly, you should know that you can register to the AGM in the quality of an International Board member, a National Representative, a second Country Delegate, a Section Delegate, a Section Participant, an Alumnus or a Guest.

Important dates concerning registration

The registration starts on December 5 and it ends on January 31st for everybody. On January 31st the waiting list goes to ESN International, together with the number of places left available. ESN International evaluates the Alumni’s applications and it also decides who will be the Section Participants who will attend the AGM (according to the procedure described above). On February 10th, the new official list (including the confirmed 20 Alumni and the confirmed Section Participants) is sent to the AGM Organizing Committee. The Organizing Committee send a validation/ invalidation mail to the persons who had registered on the waiting list.

First step

Register on ESN Identity on http://www.esn.org/identity/

Explanation:
Having registered on ESN Identity tell your section president (for local level) - National Representative (for national level) to assign you a position within ESN.
Only when you are on ESN Identity you can proceed to register for the AGM. People on the AGM list without identity registration will automatically be deleted.

Second step

Register on the AGM website, making sure that you choose the right list to subscribe to (National Representative, second Country Delegate, Section Delegate, Section Participant, International Board member, Alumnus or Guest).

Payment

The final validation as an official participant at the AGM 2008 is made once you paid. The participation fee is of 150E for the CNR, whose members will attend also the pre and post AGM activities and of 110E for the other participants. Beginning with January 15th, the amount will increase to 150E for everybody. The payment has to be made within two weeks from your registration as an official participant on the AGM website.

AGM Identity

Once you registered on the AGM website, you will get a six-figure identification number which is extremely important, because it will represent your main ID all along the AGM.

Infomarket

For the Infomarket, it is important to know that you can either send your material before your arrival (between February 15th and 29th) or you can bring it yourself on your arrival. If you decide to send it, beware that it should be a box of max. 32cm*29cm*26cm.

Hotel

You will have the possibility to choose your hotel room starting with January 15th.

Workshop

You will have the possibility to register for the workshops starting with January 15th.

Details about the waiting list

According to the quality in which you subscribe to the AGM, when you register, you will be put either on the official list or on the waiting list. The official list includes the International Board members, the National Representatives, the Country Delegates, the Section Delegates and the Guests. The persons on the official list have a guaranteed place at the AGM. The waiting list includes the Section Participants and the Alumni.

The available places are distributed proportionally, according to the formula below and they are directly assigned to people on the waiting list.

X / (number of sections of ESN) *(number sections of a country)

Example:
Let’s assume there are 100 free places on the waiting list. Also, ESN International has 266 sections and ESN Norway has 5 sections.

100/ 266*5=1.9

Hence, from all Norwegian participants subscribed on the waiting list, 2 can additionally go to the AGM.

With this algorithm, the distribution of the available waiting list places is as fair as possible since not every section can send a participant due to capacity reasons.
Once free places are assigned to a country, participants will be chosen on a selection system decided by each country.

Warning

Please remember that after your registration you will receive many e-mails from the Organizing Committee, providing or asking for information (concerning your arrival, the hotels, the AGM activities etc).
